What Are Contact Groups?
Upload a list of contacts that may not have reservations but you still want easy access to in Akia. Common contact groups are owners, housekeepers, vendors, or employees.
You can view your contacts groups in the Records page and broadcast to them for easy reference.
How Do I Create a Contact Group?
Manually Create a Contact Group
- Go to Settings > Utilities > Contact Groups
- Click + New Contact Group and give it a name
- Click OK to save and create the contact group

Upload a CSV to Create a Contact Group
If you have an existing CSV of contacts you want to import in Akia, you can upload the list to create a contact group for that list.
For guests that are from a customer list that you upload, you are solely responsible for ensuring compliance with your governing legislation and obtaining reasonable consent for sending messages to those numbers/emails.
- Go to Settings > Utilities > Contact Groups
- Click Upload Contacts
- Give a name to the contact group you’re looking to create and choose the file you want to upload

- On the next screen, map the column to the corresponding field
- There is a max limit of 100 records you can upload for a single contact group. If you are trying to upload more than 100 records, you will need to split the CSV file into multiple contact groups.
- Check the Exclude Column Header if the first row in your file is a header
- Specify the type of each column. Available options are:
- Ignore: used if the data in this column is irrelevant
- First Name
- Last Name
- Phone Number

- Click Save to create the contact group. Note that it may take some time to process and create the contact group if the file is large. You'll receive a notification when the contact group upload is completed.
Add a Guest to a Contact Group (Regardless of When You Created It)
- Go to the Guest’s profile in the sidebar of their message thread
- Click Edit to the right of their name
- Scroll down to Contact Groups and select the group you want to add them to
- Hit Ok to save

- 👨💻 Notify Employees: Broadcast to employees notifying them of any important information.
- Learn more about broadcasting here.
- 🐶🐱 Pet Friendly: Let guests who previously asked about your pet policy the good news that your property is now pet friendly!
- Create a Message based contact group to filter for guests who mentioned “pet friendly” or “bring pet” to quickly filter for the appropriate guests.
