Learn how to connect Akia to Cloudbeds


Enabling Cloudbeds Integration

💡
If you have multiple properties under one Cloudbeds account, you will need to have the same multi-property set up in Akia where you map each of the property.
  1. Navigate to Akia’s integration page
  1. Find Cloudbeds under the Property Management category

  1. Upon clicking Install, you will be taken to Cloudbeds to authorize Akia to access your reservation data for your properties. Click Approve.

  1. After the approval process, you will receive a notification for successful installation.
  1. Navigate to your Cloudbeds installation and click on Settings

  1. You will need to map your Cloudbeds property to your Akia property.

Enabling Payments in Akia to Update the Guest Folio

If Akia is handling some of your transactions and you want the record of payment to be reflected in the guest folio in Cloudbeds, you’ll need to complete the following steps:

  1. Go to Payment Options in Cloudbeds settings

  1. Under Additional and Custom Payment Methods, you’ll need to click on the “Add Payment Type”

  1. Create a new custom Payment Method named “Akia”
  1. Once created, toggle the Payment Method on to activate

My Cloudbeds Reservations Are Not in Akia

  1. Check your notifications tab (🔔) to the left of your profile picture to see if there is an issue with your Cloudbeds integration.
  1. If you have received notifications that there’s an issue with your Cloudbeds integration, go here to uninstall and reinstall the Cloudbeds app for your account: https://sys.akia.ai/integrations/apps/cloudbeds
      • Note: You need to be an Admin in Akia and in Cloudbeds to reinstall the app; and uninstalling and reinstalling will not affect your current reservations in Akia.
  1. After you have reinstalled, you should see the notification that Cloudbeds has been connected.
  1. Your reservations should start showing up in Akia within the next half hour of Cloudbeds being reconnected.
 
You’ll see another notification when Cloudbeds has been reconnected to Akia. Your missing reservations should slowly start to be imported after the reconnection.

Integration Breakdown

  • 2-way integration - Akia can send information back to Cloudbeds
  • Webhooks and API - Akia receives bookings right when they happen and continuously syncs reservation details with Cloudbeds 30 days before the guest arrives
 

What Can I Do Now That I Have Cloudbeds?

  • Send back guest information to Cloudbeds via Event Triggers
    • Agreements, payments, email, phone number, date of birth, notes, passport information, etc.
    • For example, once an agreement is signed, send a PDF of the agreement to Cloudbeds
  • Send a message when the room is marked as ready, the guest has checked in, or upon checkout
